Onboarding a new employee can be a time-consuming process, but with ACT Tax Group’s streamlined system, we make it easy and stress-free. This guide outlines the 5 simple steps we follow to ensure your new employee is onboarded efficiently and securely.
Step 1: Share Employee Details
To begin the onboarding process, we need the following details for your new employee:
- Full name
- Email address
- Phone number
You can email these details to us at office@acttaxgroup.com.au. Once we have this information, we’ll take over the process from there.
Step 2: We Reach Out to Your Employee
After receiving the employee’s details, we will:
- This email explains who we are, what we do, and outlines the steps your employee needs to complete the onboarding process.
Provide the Employee Starter Kit:
The Employee Starter Kit is a comprehensive form that collects essential details such as:
- First name and last name
- Tax File Number (TFN)
- Superannuation details
- Date of birth
- Bank account details
This form is regularly updated to ensure we collect everything required for the employee’s setup.
For security, the kit is sent via DocuSign or Adobe Sign, both of which are encrypted portals that protect your employee’s data.
Step 3: Setting Up Your Employee in Xero
Once your employee has completed the Employee Starter Kit, ACT Tax Group will set them up in Xero, the accounting software we use to manage payroll and employee information. This ensures everything is properly configured, eliminating the need for follow-ups.
Step 4: Setting Up the Xero Me App
After the Xero account setup, we’ll assist your employee in accessing the Xero Me app:
Your employee will receive an email invitation directly from Xero. The email will contain a link with a simple button to “Accept the Invite.”
Once the invitation is accepted, your employee will gain access to the Xero Me app.
This step is quick and usually takes just a few minutes.
Step 5: Accessing the Xero Me App
The Xero Me app is a powerful tool designed to make employee management easier. With this app, your employee will be able to:
Submit timesheets
Review past payslips
We’ll also provide a link with additional information about the Xero Me app to ensure your employee can take full advantage of its features.
